The record should show request lists, uploaded files, access logs, Q&A records, version history, reviewer comments, red-flag logs, and final closing sets so an investor, lender, counsel, administrator, or operating lead can reconstruct the decision later. Map each folder to a request list owner, expected evidence, confidentiality level, and open questions that still need answers. The common failure mode is creating a file dump that makes investors ask repeat questions and slows the path from review to commitment.
